Once we receive both your completed reservation form and deposit we will send you a confirmation packet.

Your confirmation packet includes detailed trip information, what to pack, start and end locations & times as well as contact information.

Deposits

Wood & Westland require a deposit of 30% to confirm your reservation.
Please feel free to call us and we will fit a bike for you over the phone and secure your bike reservation.

Balance of tour cost is due 60 days before the tour departure date. Balance due may be paid by personal check, Visa, MasterCard or American Express.

Cancellations & Refunds

Our cancellation policy is based on the number of days prior to trip start that we receive your written cancellation notice. Please note, we must receive written notification of your cancellation within the number of days listed below.

• 71 days and more, prior to the trip departure date, you will receive a FULL refund
  
• 61-70 days prior to the trip departure date, you will receive a 50% refund
  
• 51-60 days prior to the trip departure date, you will receive a 50% refund less $75.00 per person administrative fee charge
  
• 40-50 days prior to the trip departure date, you will receive a 30% refund less a $75.00 per person administrative fee charge
  
• 30 days and less prior to the trip departure date, there is no refund

Wood & Westland strongly suggest that you purchase trip insurance to cover you in case an illness forces you to cancel a tour. There is no refund for arriving late or departing early from a tour, nor for any meals, or services not used while on tour. Wood & Westland is not responsible for cancellations, amendments, or additional fees incurred by clients due to acts of nature, civil unrest, strikes, work stoppage, or bad weather. Wood & Westland reserves the right to cancel a tour. While this is rare, in the event of cancellation, a full refund will be sent to the client and constitutes full settlement. Wood & Westland does not recommend the purchase of non-refundable airline tickets or non-refundable mileage credits and is not responsible for expenses incurred such as pre-paid hotel reservations or non-refundable airline tickets or non-refundable mileage credits.

Reservations & Deposits

Call us toll free at 1.866.858.3030, mail or fax our reservation form or complete our on-line reservation form. Deposit and balance due may be paid via personal check, MasterCard, Visa or American Express. Rates are per person for a double room.

Balance

Balance of the tour cost is due 20 days before the tour departure date. Balance due may be paid by personal check or credit card. It is our clients' responsibility to send in both the balance due and our Traveler Update by the due date. If the balance due is not received by the due date, Wood & Westland will cancel your reservation. Our cancellation policy will apply and your space will be offered to clients on our waiting list.

Trip Cost

Cost quoted is in Canadian Dollars.

Transfers

If space is available, we will be happy to transfer your deposit to another tour, providing you contact us at least 90 days prior to your original departure date. Transfers must be applied to a tour departing to the same region and in the same calendar year. Transfers between 90 and 70 days incur a $100/person administrative fee.

Arrivals & Departures

Tours begin and end at the designated places and times listed in your confirmation materials. Late/early arrivals and late/early departures are responsible for their own transfers to hotels, airports or train stations.

Private Adventures:

Depending on the nature of your Private Tour, special cancellation and refund policies may apply.

Trip Insurance

We strongly recommend cancellation and accident insurance to prevent any losses in case of illness, accident or otherwise. An application form is included in your confirmation packet. It is the responsibility of the client to apply directly to the insurance company. Please purchase trip cancellation insurance in case an illness forces you to cancel a trip or depart early from a trip.

Responsibility

Clients are responsible to select a tour suitable to their athletic ability. They are responsible to read all pre-trip materials, to inform us of any medical or dietary restrictions, to sign our assumption of risk form, and to obey all safe biking rules. Clients must wear a helmet while on a Wood & Westland Bike tour.

Itinerary

We are constantly fine-tuning our trips and, on occasion, we may amend an itinerary to include new accommodations or an alternate route. All efforts are made to keep any changes to a minimum.

Bike Rentals

Wood & Westland has a fleet of comfortable hybrid bikes, complete with map case, handlebar bags, and water bottle. The cost for the rental bike is $125 per 6-day trip per person.
