Once we receive both your completed reservation form and deposit we will send you a confirmation package.
Your confirmation package includes detailed trip information, what to pack, start and end locations and times as well as contact information.

Reservations & Deposits
Wood & Westland requires a deposit of 30% of the total cost of the trip to confirm your reservation.
Please feel free to contact us and we will fit a bike for you over the phone and secure your bike reservation.
Balance of tour cost is due 30 days before the tour departure date. Balance due may be paid by personal check, Visa, MasterCard or American Express. Rates are per person for a double room.

Balance
Balance of the tour cost is due 30 days before the tour departure date. Balance due may be paid by personal check or credit card. It is our clients' responsibility to send in both the balance due and our Traveler Update by the due date. If the balance due is not received by the due date, Wood & Westland will cancel your reservation. Our cancellation policy [this should be a link to the “Cancellation Policy” page] will apply and your space will be offered to clients on our waiting list.
Trip Cost
Cost quoted is in Canadian Dollars.
Arrivals & Departures
Tours begin and end at the designated places and times listed in your confirmation materials. Late/early arrivals and late/early departures are responsible for their own transfers to hotels, airports or train stations.
Responsibility
Clients are responsible for selecting a tour suitable to their athletic ability. They are responsible for reading all pre-trip materials, to inform us of any medical or dietary restrictions, to sign our assumption of risk form, and to obey all safe biking rules. Clients must wear a helmet while on a Wood & Westland cycling tour.
Itinerary
We are constantly fine-tuning our trips and, on occasion, we may amend an itinerary to include new accommodations or an alternate route. All efforts are made to keep any changes to a minimum.
Bike Rentals
Wood & Westland has a fleet of comfortable hybrid bikes, complete with map case, handlebar bags, and water bottle. The cost for the rental bike is $125 per 6-day trip per person.
Cancellations Policy
Transfers
If space is available, we will be happy to transfer your deposit to another tour, providing you contact us at least 90 days prior to your original departure date. Transfers must be applied to a tour departing to the same region and in the same calendar year. Transfers between 90 and 70 days incur a $100/person administrative fee.
Trip Insurance
We strongly recommend cancellation and accident insurance to prevent any losses in case of illness, accident or otherwise. An application form is included in your confirmation packet. It is the responsibility of the client to apply directly to the insurance company. We strongly recommend you purchase trip cancellation insurance in case an illness forces you to cancel a trip or depart early from a trip.

Depending on the nature of your Private Tour, special cancellation and refund policies may apply.
